If you’re using Gmail (Google Workspace) and want customer inquiries or internal messages to flow seamlessly into your Text App, you can set up forwarding in a few different ways. Below are step-by-step instructions to help you forward all emails, only specific ones, or even messages flagged as spam.
1. Set Up Basic Forwarding
-
In Gmail, access Settings > Forwarding and POP/IMAP.
2. In the Forward copy of incoming mail to section, add your unique forwarding address
and decide if you want to keep the copy of emails in your inbox
3. In Text App, click the verification link that arrives as a ticket to confirm forwarding.
4. After verification, return to Gmail and select Proceed and OK to finalize adding the
forwarding address.
Here you can find your Text App forwarding address.
2. Forward Only Specific Emails (Use Filters)
-
In Gmail settings, navigate to Settings > Filters and Blocked Addresses > Create new filter.
-
Define criteria—like sender, subject, keywords, attachment status, size, etc. You can also use the Has the words field and enter deliveredto:youremail@address.com to catch emails that might otherwise land in Spam.
-
Click Create filter.
-
Select Forward it to, choose your Text App forwarding address, and tick Never send it to Spam if you want to ensure flagged emails are also forwarded.
-
Only emails that match your defined criteria will be redirected.
4. Forwarding via Google Groups (Google Workspace Admin)
-
Log in to the Google Workspace Admin Console
-
Navigate to Groups to see the list of your existing Google Groups.
-
Click on the group where you want to add the forwarding address.
-
Add Text App forwarding address as a Member
-
Open the group’s Members section.
-
Click the + Add members (yellow +) button.
-
Enter the forwarding email address
-
Click Add to group.
-
(Optional) Create a New Google Group beforehand - If you don’t have a group yet, here’s how to make one:
-
Go to the Groups list and click Create group
-
Fill out the group’s name, email, owner, etc.
-
Enable External Publish posts so the group can receive emails from outside your organization.
-
Click Create Group.
The forwarding address is now part of the group, and incoming messages to that group will be delivered to it automatically.
